Setup
- From the SalonBiz Central Admin menu, go to Communications and then click Templates.
- Click the Start from Scratch button. Give the template a name, description, and choose the intended purpose for it – Reminders, Confirmations, or a Campaign.
- Click the Save and Edit button to enter the editor and start building your template.
- Click the Save button to save your changes and be returned to the Email Templates screen or click Close Editor to discard changes.
- To see a preview of a saved template, click the View button.
- To edit a saved template, click the Edit button to be taken into the editor. You can also click the Gear button to change the template name and description.
- The template editor will auto-save your changes occasionally, but only if you are editing a template that you have already created and saved. Auto-save cannot be enabled on brand new templates until they have been manually saved with the Save button in the editor.
- To make a copy of a saved template, click the Copy button. You will be able to make an exact copy of an existing template so it can be edited or updated, all while keeping the original intact.
- To delete a template, click on the red trash can icon.
Featured Templates
Out of ideas? Short on time? Our team has created a set of pre-formatted email templates to help get your creative juices flowing! You can quickly and easily copy these templates to your Central and make any edits you need to customize each one. Keep an eye on this page, we will be adding more over time!
- Click on the Featured Templates tab.
- Hover your cursor over one of the templates and tap the View button to preview the template on screen.
- Once you’ve found a template that you like, hover your cursor over it and tap the Copy button to copy the pre-formatted template to your list of templates in Central.
- From your list of saved templates in Central, you can edit the template you just copied to make it customized to your specific needs!
Building a Template for Campaigns
- From the Template Editor, click and drag items from the Content Tab into the email body. The Content tab houses elements such as text boxes, images, buttons, social media links, custom HTML1, video links and dividers.
- Need some fabulous images? When you’re adding a new image, click the Search Free Photos button in the File Manager to search a database of thousands of royalty-free pictures.
- Click inside the box to add your custom content.
- While in the text editor, click on Merge Tags to see a list of all available options to dynamically customize your message. Merge Tags work by automatically replacing the merge tag text with custom content at the time of email delivery. For example, if you choose the *|CUSTOMER FIRST NAME|* merge tag, that text will be replaced with each customer’s first name when they receive their email communication for a personal touch. Available tags:
- Company Name – as defined by your Company Name in Central
- Location Name – from the name in SalonBiz -> Blueprints ->Salon
- Location Phone – as defined in SalonBiz ->Blueprints->Salon
- Location Address – as defined in SalonBiz->Blueprints->Salon
- Customer First Name
- Customer Last Name
- The Structure tab houses different sized boxes that you can fill with content and treat as a group.
- The Body tab lets you configure the width of the email, background and text colors and overall font.
- Once you have added all the merge tags and elements that you want, click the Save button to save your changes.
Building a Template for Reminders or Confirmations
- Complete all of the above steps for creating a custom template, starting with the Setup section. Make sure to choose either a Reminder or Confirmation as the type of communication you are creating the template for.
- Because this is a reminder or confirmation, you will need to display the customer’s list of services, their appointment date, time, and service provider. On the Content tab, click and drag a new Text element into the template.
- Click on the new text box in the template and click on the Merge Tags button on the text formatting menu that pops up. You will see a new option – List of Services. Click this to add the Service List merge tag to your template.
- The Service List merge tag will display your customer’s appointment date and time, list of services, and service providers for their upcoming appointment.
- If you are building a Reminder template, you will also need to insert a Confirmation Link, which is the link that the customer will click or tap to confirm their appointment. You can only insert the confirmation link into a text box from the Merge Tags list. The link is then automatically generated when you send your reminder.
- Once you have added all the merge tags and elements that you want, click the Save button to save your changes or Close Editor to cancel.
- Reminders can contain both the List of Services AND the Confirmation Link merge tags. Confirmations can only contain the List of Services merge tag.
Choosing a Template for Reminders or Confirmations
- From the Central Admin menu, go to Reminders & Confirmations.
- Click on either Reminders or Confirmations, depending on which you would like to edit.
- Click the Edit link at the top of the screen.
- Under the Email section (Email Reminders or Email Confirmations), choose the template you wish to use for your email communications; the Default Template is the current style; you can also choose any of your custom templates from this drop down.
- Click the Save button at the bottom of the page to save your changes.
Choosing a Template for Campaigns
- From the Central Admin menu, go to Campaigns.
- Click the Start button next to the campaign that you wish to send.
- From the Template drop down, choose which template you would like to use for the current campaign.
- Click the Save Changes button at the bottom of the Edit section to save the template to the campaign.
- Note: When you have a template saved to a campaign, any text saved in the Body section will be replaced by your template.
