The SalonBiz Stylist App gives you the flexibility to fill your appointment book and monitor your business from anywhere, anytime. Download from the App Store or Google Play for your phone.
Navigation
- Enter your username and password to log in.
- Use the menu to navigate between options.
- Touch to view the month calendar or swipe left or right on the calendar bar to quickly move between the days of the week to find the ideal appointment time for your client.
- You can also view other locations (if applicable) and other staff members.
- If you do not have access to ‘Edit All’ you will only have the option to view and edit your book.
- If you are a manager without a schedule on the book, you will be prompted to select a staff so that you can view their book. You can also directly navigate to view your stats.
- Hot Tip: Your username and password will be saved after the first time you log in so that you do not have to type it each time. You will remain logged in until you log out.
Book
- Your appointment book for the current day is the default view.
- Use the calendar to select a different day.
- From the book, touch the time you would like to reserve.
- Tap the Create Appointment option from the menu.
- Choose to either Search or Create a new client.
- To search for an existing client, enter the first few letters (3 minimum) of the client’s first and last name, and then press the Search button. Select the client name from the list.
- To create a new client, touch the Create button. Enter the client’s first and last name, phone number and email address. Then press the Create button.
- If there is already a client with the same email address you will receive a message letting you know that there is an existing client with the same email.
- The requirement for an email address is determined by your administrator in SalonBiz default settings.
- Enter the first few letters (3 minimum) of the service you would like to reserve and press the Search button.
- Press the desired service from the list.
- Verify the service duration and adjust it if necessary.
- Select the request reason from the drop down menu.
- Touch the Confirm button when you are finished.
Delete an Appointment
Your system administrator will determine your ability to delete appointments. If you have ‘Edit Mine’ access you can only delete your own appointments. If you have ‘Edit All’ access, you can delete any appointment.
- Locate and touch the appointment to delete.
- Press the Cancel button to return to the schedule or the Delete button to remove the appointment.
- If you do not see the Delete button, you do not have access to remove appointments from the book.
- Select a reason for cancelling the appointment from the list and then press the Delete button.
- The appointment is removed and the client will receive an email that the appointment has been canceled.
- All booking activity is tracked. Reference the SalonBiz Appointment Book Log to see who created, moved or deleted an appointment.
Block
- From the book, select a time you would like to block.
- Tap Create Block from the menu (see your administrator if you don’t have access).
- Enter the duration, select a block reason and add an optional note.
- Tap the Create button.
- To delete an existing block, simply tap the block and then tap delete.
Check-in an Appointment
Your system administrator will determine your ability to check in appointments. If you have ‘Edit Mine’ access you can only check in appointments on your book. If you have ‘Edit All’ access, you can check in any appointment.
- Locate and touch the appointment you wish to check in.
- Tap Check in.
- This will only be shown for users with Edit access.
- The appointment will be checked in, provided there is an open shift.
- All staff in the appointment will receive the check-in notification, and a ticket will be created.
Check-in Notifications
When a client checks in for their appointment, each service provider in the
appointment will receive a notification from the app informing them of the check-in. This notification will include the client’s name, the check-in time, and the appointment time.
- The service provider must be logged into the app, but it is not necessary for the app to be in view to receive the notification.
- If you wish to receive notifications when clients check in for their appointments, check your settings and set your phone to allow SalonBiz Stylist to send push notifications.
View and Add Info
View client purchase history, future appointments add notes, formulas and add and view consultation forms.
- Locate and touch the appointment to view.
- Press the View Info button to view the appointment and client history information.
- Tap the Camera icon to view the Client Photos page.
- If you have stored photos of your client before, they will show in either the Before or After area. You can swipe left or right to view multiple photos.
- Tap the Camera icon in either the Before or After section to add a new photo of your client. You can add photos from the photo library, or by taking a new one with the camera. Each photo will be date stamped and ordered from newest to oldest.
- To share a photo, tap the Share arrow to bring up the Share menu.
- To delete a photo, tap the trash can icon.
- Under the History section, access Formulas, Notes, Services and Product history.
- While in the Formula section, click the + button and enter in new formulas as necessary.
- While in the Notes section, click the + button to enter client notes, appointment notes, or ticket notes as necessary.
- Ticket notes can only be added once the client has been checked in.
- Press the Future Appointments button to view future appointments.
- Tap the Cancel button to return to the appointment book.
Consultations
- Touch an appointment on the book.
- Tap the Consultations option from the menu.
- View previously completed forms or create a new one by tapping the plus icon in the upper right hand corner.
- Tap the Complete Consultation button.
- You have the option to email the completed form questions to the client and save their email.
Add a Service to a Ticket
- Touch a checked in appointment on the book.
- Tap the Add service to ticket option from the menu.
- Type in a few letters of the service name you would like to add to the open ticket.
- After selecting the service, select the staff member providing the additional service.
- Select the request reason for the service before adding it to the ticket.
Allow Self Check-Out
For your clients using Pocket Salon, you can prevent checkout until you have verified all products and services for the visit are on the ticket.
- Touch a checked in appointment on the book.
- Tap Allow Self Check-Out. You’ll receive a confirmation and the client will be able to proceed with checking out via the Pocket Salon App (see your administrator if you don’t have access).
Stats
- From the menu screen touch Stats.
- Your personal stats will be displayed by default. Managers can touch the dropdown to select location stats, or other staff from their location.
- To access staff stats at a location other than your primary location set up in Central, tap the Menu button, Select Staff/Location, select the location from the dropdown, and then go into Stats again. This will change the staff list to the selected location.
- View your stats. They will default to the current day; you can change the view by pressing Day, Week, Month, or Year.
- Select a date from the calendar (up to 12 months in the past) to view the stats using that date as your end date instead of the current day.
- Week View will display the currently selected week – Sunday (start date) to “today”
- If today is Thursday, the Week view will show you your totals from Sunday through Thursday.
- If you’ve selected last Monday’s date from the calendar, the Week view will show you your totals from last Sunday through last Monday.
- Month View will display the currently selected month – the 1st of the month (start date) to “today”
- If today is the 18th, the Month view will calculate your totals from the 1st to the 18th.
- If you’ve selected the 18th day of last month from the calendar, the Month view will calculate your totals from the 1st to the 18th of last month.
- Custom Date - enter the date range you wish to view
Goals and Forecast
- Tap Goals and Forecast at the top of the screen to switch the view to see your percent to goal for each metric, as well as your current forecasted sales for the reporting period.
- Your Service forecast is calculated based on the total dollar amount of non-checked out appointments on the book for the reporting period and adding that to the actual service revenue.
- Your retail forecast is calculated by multiplying your prior period’s RPST by the number of non-checked out appointments on the book for the reporting period. This is then added to your actual retail revenue.
- Your ticket forecast is simply the number of any non-checked out appointments on the book for the reporting period added to your actual ticket count for the current reporting period.
- When you use the Week, Month or Year view, your actuals calculate for the current week-, month- or year-to-date, but your Forecast will include the entire calendar week, month, or year.
- An upward pointing green arrow or downward pointing red arrow provides a quick, at-a-glance indicator of whether or not you are on track to reach your goals.
- You can also tap each forecast card to reveal a status bar for your forecast, or tap the word Forecast to view forecast details for the selected period.
Stats - Staff Ranking
- Managers can touch the dropdown in the Stats screen to select location stats, other individual stats, or all staff stats in the location.
- Select the stat from the dropdown to view the values; the staff will be ranked by that value.
- Touch the speech bubble to send a notification to individual staff or all staff at your location.
Inventory
All staff will have the ability to look up product info. Stylist App users with “Allow Mobile Inventory” checked in their Central employee file will have access to Create, View and Process Counts.
- Tap the More menu and then tap Products.
- If you don't have access to view or create Counts you'll have the opportunity to look up product info.
- Use your camera to scan the item's barcode or type the product name to search.
- Tap to view, create or quick count.
- Tap to Create count, select your count type and name your count.
- Enter the on-hand quantity and swipe for the next item.
- Open an existing count and continue counting or view by list to review errors. If you need to add any additional items to a count, tap the lookup button and scan the barcode and enter the quantity.
- When you are done, tap Finish to view your summary and tap Process.
- You can void a count by tapping Finish and then the Void button.
- Quick count allows you to count without a designated list. Simply start your Quick Count, scan your items and enter the quantity counted. Tap the Finish button to process your count when you are finished.
Directory
- The Directory is a photo gallery and contact list of the company employees. The company administrator sets up employees.
- From the menu, press Staff Directory.
- Scroll up and down to view the employee list.
- You can initiate a phone call, text message and/or email to the team member by touching the link.
Messages
The Messages area houses all communications from Central.
- From the menu, press Messages.
- You will see your current messages in chronological order. You can see the type and subject of each message.
- Touch the Subject to open the message.
- Touch the garbage can icon to delete the message or click the back button to return to your messages list.
